NEROPAY BUSINESS GUIDES

Available and pending balances in NeroBusiness: what is the difference?

In NeroBusiness, your available balance is the money ready to use, while a pending balance represents movements that have not yet completed. Do not treat pending funds as money you can already send. For a small business, that distinction matters when paying a supplier or deciding whether to move payment funds. Here is how to read the two balances together, check the underlying activity and plan your next action without assuming a settlement time.

Available and pending balances in NeroBusiness: what is the difference?

Product availability, account eligibility, supported features and applicable charges depend on your setup. Confirm current terms with the NeroPay team.

01

Available is usable; pending is not yet complete

Your available balance answers a practical question: how much is currently ready to use? It is the starting point when considering an outbound transfer, although applicable fees, limits and account terms still matter. Your pending balance describes movements that have not yet completed, rather than extra spending money.

The important distinction is status, not simply arithmetic. Adding available and pending figures together can give you a misleading basis for a payment decision. A pending figure is not a promise that the same amount will become available at a particular time. Check the associated activity to understand what the movement relates to before making a commitment.

02

Check which account holds the money

NeroBusiness is a business account within NeroPay, subject to eligibility and completed account checks. Its setup is separate from the payment account. This matters if you accept customer payments through NeroPay: a payment you recognise in one part of your workflow should not be assumed to be available in NeroBusiness.

NeroBusiness supports receiving bank transfers using issued UK account details, outbound transfers, saved payees and moving available payment funds. Before planning a supplier payment, establish where the funds currently sit and whether they are available there. NeroPay is not a bank, and plans, fees, limits and card availability follow the current account terms.

03

Hypothetical example: paying a supplier

Suppose a small UK retailer sees £600 available and £250 pending in NeroBusiness. A supplier has requested £700. The owner might be tempted to regard the combined £850 as enough, but only £600 is currently shown as available. The pending £250 should not be used as the basis for promising that the £700 transfer can be made now.

The sensible choice is to check the activity behind the pending movement, then decide whether to wait until sufficient funds are shown as available or discuss a different payment arrangement with the supplier. If the £250 later completes and is reflected in the available balance, the owner should check the balance again before sending. These figures are illustrative, not a settlement forecast, and any other movements, fees or limits must also be considered.

04

Check the movement before taking action

An expected payment, a pending movement and an available balance answer different questions. Use the activity views to compare the movement with your own records, rather than relying on a remembered total or a customer's message that money has been sent. CSV statements can also help you compare account activity with invoices and payment records.

A useful success check is that you can identify the relevant movement and confirm that the available balance supports your intended transfer under the applicable terms. If the figures do not make sense, pause rather than repeatedly attempting a transfer. Ask NeroPay for clarification, giving the amount, date and relevant transaction details without sharing passwords or security codes.

  • Confirm that you are looking at NeroBusiness rather than a separate payment account.
  • Compare the relevant activity with the amount and date in your records.
  • Read the available and pending balances separately.
  • Check current fees, limits and payee details before sending.
05

Make payment plans from confirmed availability

For day-to-day cash planning, keep money ready to use separate from money you expect to receive. This does not require a complicated process: a simple list of upcoming supplier payments alongside confirmed available funds can make a shortfall visible before a payment is due. Treat pending movements as items to review, not as completed receipts.

If you regularly pay the same supplier, saved payees can support that workflow, but you should still check the intended recipient and amount. Your next action is to review the available balance against your next planned transfer. Where the decision depends on pending funds, check their activity and seek clarification if needed rather than choosing a payment time based on an assumption.

GOOD TO KNOW

Common questions

Can I send money that is shown as pending?

Do not treat pending money as available to send. Base your decision on the available balance, then check the applicable transfer fees, limits and account terms.

When will a pending amount become available?

A pending balance alone does not establish a completion time. Review the associated activity and ask NeroPay if you need clarification about a particular movement. Do not promise a supplier payment time based solely on that figure.

Does having a NeroPay payment account mean NeroBusiness is already set up?

No. NeroBusiness setup is separate from the payment account and is subject to eligibility and completed account checks. Confirm your account setup before planning to receive or send funds through it.

What should I do if a customer says they have paid?

Check your account activity against the expected amount and your records. A customer's confirmation is useful context, but it is not a substitute for checking whether the funds are reflected in your available balance.

YOUR NEXT STEP

Check availability before committing

Use the available balance for immediate payment decisions and activity views to understand pending movements. Before your next supplier transfer, confirm the account, available funds and applicable terms. If something remains unclear, ask NeroPay about the specific movement before committing to a payment time.
